STANDING OPERATING PROCEDURE (SOP) FOR GRANT OF LEAVE TO CADETS

1. OBJECTIVE
To Lay Down Guidelines And Standardize The Procedure For Granting Leave To Cadets Of Sainik School Jhansi While Ensuring Minimum Disruption To Discipline, Academics, And Training Activities.
2. CIRCUMSTANCES UNDER WHICH LEAVE MAY BE GRANTED
(a) Marriage Of Own Sibling
- Leave May Be Sanctioned For The Marriage Of Own Brother Or Sister.
- Duration: 2 To 3 Days (subject To The Distance From The School).
(b) Death Of Immediate Family Member
- In Case Of The Demise Of A Parent Or Own Brother/sister.
- Duration: 2 To 3 Days (depending On Distance).
(c) Serious Illness Of Immediate Family Member
- Includes Grandparents, Parents, Brother, And Sister.
- Duration: 2 To 3 Days Based On Urgency And Verification.
(d) Medical Leave For Cadet (Doctor’s Recommendation)
- When Treatment Is Advised At Home By The Doctor Of The School And Approved By The School Authorities.
- Duration: As Per Medical Requirement.
(e) Emotional Grounds (Junior Classes)
- Cadets Of Class VI/VII Whose Parents Serve Abroad Or In The Armed Forces May Be Granted 1–2 Days Leave Under Special Circumstances.
- Leave To Be Approved On Case-to-case Basis.
3. LEAVE DURING IMPORTANT SCHOOL EVENTS
(a) Leave May Be Granted During Examinations Only In The Case Of Sudden Demise Of An Immediate Family Member.
(b) In Case Of Grandparent’s Death, Leave May Be Granted Excluding Days Of Annual Exams.
4. VERIFICATION AND GENUINENESS
(a) A Detailed List Of Cadet’s Family Members Will Be Maintained In Their Cumulative Record.
(b) Class Teacher Is Responsible For Verifying The Genuineness Of The Case.
(c) Vice Principal May Recommend Leave In Special Or Exceptional Circumstances.
5. ACADEMIC CONSIDERATIONS
Cadets With Poor Academic Performance Will Normally Not Be Granted Leave, Except In Unavoidable Circumstances, Subject To Vice Principal’s Approval.
6. LATE RETURN FROM LEAVE
(a) Leave Extension Will Not Be Permitted Under Any Circumstances.
(b) Late Comers Without Prior Intimation Will Be Denied Re-entry And Sent Back Home At Their Own Expense.
(c) Prior Written Intimation Of Delayed Return Must Be Submitted By Parents.
(d) If A Cadet Fails To Report Within 24 Hours Of Scheduled Return Time, The Class Teacher Will Inform The Parent Immediately At Cadet’s Expense.
7. LEAVE APPLICATION & APPROVAL PROCEDURE
(a) Leave Applications Must Follow The Chain Of Command:
Class Teacher ? Senior Master ? Vice Principal
(b) Approved Applications Must Record Date And Time Of Departure And Return For Administrative Record.
8. ATTENDANCE REQUIREMENTS
Cadets Are Required To Maintain A Minimum Of 75% Attendance As Per CBSE Norms. Cadets Falling Short Will Not Be Permitted To Appear In The Annual Examination.
9. COMMAND AND CONTROL
This SOP Will Be Reviewed Periodically And Revised As Per Administrative Requirements. Final Authority For All Leave Matters Rests With The Principal, Sainik School Jhansi.
